In 2005, Carolinas Medical Center (CMC) in Charlotte, NC purchased and implemented the full enterprise installation of MedHub, a web-enabled, comprehensive resident management system. The MedHub system is an integrated suite of portals which tracks CMC and visiting residents' activities including block rotation and call schedule generation; procedure case logs for programs without program-specific case log systems; resident, faculty and program evaluation; all resident demographics including training histories, vacation, CME and leaves of absence; conference scheduling and attendance; and resident duty hour monitoring. The system allows new resident demographic downloads from ERAS. The core of the system, its institutional data management, includes Medicare reimbursement and cost reporting with IRIS report generation; affiliated institutional billing, institutional site maintenance, resident FTE calculations and auditing functions. It is used by the Graduate Medical Education division as well as the hospital Finance Division. MedHub, Inc. is an Ann Arbor, Michigan based medical software development company. CMC is the sponsoring institution for 16 accredited specialty and subspecialty medical and dental residency programs and a participating institution for three additional programs. Stakeholders include over 200 residents, 170 faculty physicians and dentists; 40 GME administrators and program coordinators; and five Finance office personnel. Implementation of the CMC programs began in February, 2005 and concluded with a go-live on July 1, 2005. The system has replaced multiple databases and spreadsheets and has significantly improved communication and enhanced workflow within our organization in just several months. MedHub is extremely intuitive and easy to use. It has been well accepted by residents, faculty, administration and staff. The MedHub technical staff has offered the utmost in support in the implementation and maintenance of the system. They are constantly and consistently evaluating the system for upgrade and readily available to discuss needed enhancements. Peter Orr and Tom May, the developers, realize that every institution operates a little differently and have been very willing to try to adapt institutional nuances into their system. MedHub's reporting module produces many auto generated reports as well as has the capability of producing other ad hoc program and administrative reports. Audit trail triggers and email alerts and reminders are built into MedHub to notify residents and faculty of evaluations and duty hour timesheets to complete as well as alert administration to certain changes made in the system. Currently CMC is beta testing the first MedHub hand-held application resident's will be able to use to enter procedures and duty hours. We highly recommend MedHub as an excellent comprehensive resident management system.
